How to Activate a Workflow

Learn how to activate a Workflow so that Headlight can start using it — and why this final step is done by clients.

Select a Workflow to Review

  1. In the Workflow Configuration screen, inactive workflows appear in orange with the label Inactive.

See Workflow Basics 101 to learn how to access this screen.

  1. Select an inactive Workflow to start editing it.
Tip: This example uses a Workflow added from templates.
  2. The Workflow is set to Inactive so you can safely configure it without affecting your live data or sending messages.

Why Workflows Start as Inactive

  • Newly created Workflows
  • Workflows added from templates
  • Workflows created by the Headlight team during onboarding

Headlight assigns clients to review and activate these Workflows after setup to ensure all content is correct.

Reviewing a Workflow

Before activating:

  1. Review the Workflow flow in the left panel.
  2. Click each step to open details in the right panel.
  3. Check Type, Assignee, and message content.
  4. Edit or refine internal and external messages if needed.

Tip: Run your Workflow in Test Mode to preview user experience.

  1. Once reviewed, scroll to the top of the screen.

Activating a Workflow

  1. At the top of the screen, click the orange « Inactive » button to activate the Workflow.
  2. Headlight will remind you to Save your changes.

See Workflow Basics 101 for saving methods.

  1. Click SAVE at the bottom or use any available save method.
  2. The button now turns green (« Active »), confirming your Workflow is live.

Tip: You can deactivate any Workflow by clicking the same button again.
