{"id":1554,"date":"2025-10-31T17:09:07","date_gmt":"2025-10-31T16:09:07","guid":{"rendered":"https:\/\/www.help.headlight.tech\/?post_type=ht_kb&#038;p=1554"},"modified":"2026-01-12T13:41:19","modified_gmt":"2026-01-12T12:41:19","slug":"budget-based-ordering-creating-a-car-budget-policy","status":"publish","type":"ht_kb","link":"https:\/\/www.help.headlight.tech\/?ht_kb=budget-based-ordering-creating-a-car-budget-policy&lang=nl","title":{"rendered":"Budget-based ordering: Creating a car budget policy"},"content":{"rendered":"<p><!--ARCADE EMBED START--><\/p>\n<div style=\"position: relative; padding-bottom: calc(52.3957% + 41px); height: 0px; width: 100%;\"><iframe src=\"https:\/\/demo.arcade.software\/q0lUGCSBEVCk10Fhpo8a?embed&amp;embed_mobile=tab&amp;embed_desktop=inline&amp;show_copy_link=true\" title=\"(copy) Create a Support Ticket\" frameborder=\"0\" loading=\"lazy\" webkitallowfullscreen=\"\" mozallowfullscreen=\"\" allowfullscreen=\"\" allow=\"clipboard-write\" style=\"position: absolute; top: 0; left: 0; width: 100%; height: 100%; color-scheme: light;\"><\/iframe><\/div>\n<p><!--ARCADE EMBED END--><\/p>\n\n\n<h2 class=\"wp-block-heading\">Car policy configuration with Headlight<\/h2>\n\n\n\n<p>To create a car policy, go to <strong>Policy \u2192 Car Budgets<\/strong>.<\/p>\n\n\n\n<p>Click <strong>\u201cBenefit budget policies\u201d<\/strong> in the <strong>Policy Configurator<\/strong> menu.<\/p>\n\n\n\n<p>Click \u201c+\u201d to create a new <strong>benefit budget policy<\/strong>.<\/p>\n\n\n\n<p>First, give the car budget policy a suitable <strong>name<\/strong>.<br>Employees will see this name when accessing the car configurator.<\/p>\n\n\n\n<p>Link the <strong>applicable lease service package<\/strong>.<br>This ensures a correct <strong>TCO (Total Cost of Ownership)<\/strong> calculation.<br>If you haven\u2019t configured a lease service package yet, <a href=\"https:\/\/app.arcade.software\/share\/9VcXQ5FWgwAWDrmEElco\">learn how here<\/a>.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote\">\n<p>[Optional] If your lease service package doesn\u2019t include insurance, Headlight will ask you to provide the <strong>unbundled insurance service<\/strong>.<br>You can <a href=\"https:\/\/app.arcade.software\/share\/zGoDsdPwdKM89tI42Zf7\">find how to do this here<\/a>.<\/p>\n<\/blockquote>\n\n\n\n<p>[Optional] Link additional <strong>unbundled services<\/strong> if you want other cost elements considered in budget calculations.<br>If needed, see <a href=\"https:\/\/app.arcade.software\/share\/zGoDsdPwdKM89tI42Zf7\">this guide<\/a>.<\/p>\n\n\n\n<p>Next, for most <strong>budget-based ordering<\/strong> methodologies, link a <strong>bulk quote pricing<\/strong> \u2014 this tells the configurator which lease prices to use.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Budget parameters<\/h3>\n\n\n\n<p>Set the default <strong>annual contract mileage<\/strong> and <strong>contract duration<\/strong> (e.g., 25,000 km and 48 months).<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Budget components<\/h3>\n\n\n\n<p>This defines how vehicle cost is calculated in the car policy \u2014<br>it can be a <strong>TCO formula<\/strong> or a sum of <strong>cost components<\/strong> (e.g., lease price + unbundled services).<\/p>\n\n\n\n<p>For this policy, select <strong>\u201cCorrected TCO before tax.\u201d<\/strong><\/p>\n\n\n\n<p>If multiple budget components exist, deselect all except the correct one.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Budget levels<\/h3>\n\n\n\n<p>Now configure <strong>car policy levels<\/strong> within your policy.<\/p>\n\n\n\n<ul>\n<li>Start by adding the <strong>level name<\/strong> (visible to employees in the configurator).<\/li>\n\n\n\n<li>Set the <strong>budget level amount<\/strong>, expressed in the earlier-defined component (\u201cCorrected TCO before tax\u201d).<\/li>\n\n\n\n<li>Select the <strong>employee types<\/strong> linked to each policy level (e.g., \u201cJunior consultants\u201d for CAT level).<\/li>\n<\/ul>\n\n\n\n<p>This list is populated via <strong>Resources \u2192 People<\/strong> data.<br>If employee types are not relevant for your organization, you can leave this empty,<br>but an employee type must be set when activating an order.<\/p>\n\n\n\n<p>Once the first level is added, you can create additional levels as needed.<\/p>\n\n\n\n<p>\u2705 All done!<\/p>\n\n\n\n<p>You can now configure <strong>contributions<\/strong> and <strong>filter sets<\/strong> (covered in later tutorials).<br>Save the car policy \u2014 it will appear as <strong>inactive<\/strong> until activation.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote\">\n<p>The car policy is created but inactive.
