Maintaining your fleet overview is important, as it feeds into payroll (Benefit-in-Kind), and is your source for e.g. invoice control.<\/p>\n<p>Knowing how to manually perform updates is therefore important in general, though it is particular useful for <strong>Headlight.Ops<\/strong> users, and <strong>Headlight.Flow<\/strong> users that have finished data validation, but where onboarding is still ongoing and therefore Driver Switch Workflows are not yet in use.<\/p>\n\n\n<h2 class=\"wp-block-heading\">When does Benefit-In-Kind applies?<\/h2>\n\n\n<p>In Headlight, there are two main conditions for when Benefit -In-Kind applies:<\/p>\n\n\n<ul>\n<li>The vehicle should be <strong>linked to the employee <\/strong>.<\/li>\n\n\n\n<li>The vehicle should have <strong>status &#8220;driving&#8221;<\/strong>.<\/li>\n<\/ul>\n\n\n<p>Therefore, this article shows you (1) how to link vehicles and drivers, and when to link\/unlink drivers, and (2) how to update statusses.<\/p>\n\n\n<h2 class=\"wp-block-heading\">Vehicle-Driver Assignments: Introduction<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">Initial match vs subsequent changes<\/h3>\n\n\n<p>When a vehicle is imported via supplier reports in Headlight for the first time, the system automatically matches it to an employee based on the driver name found in the leasing company&#8217;s report. Employee numbers are often not included in these reports, so the name is used as the primary identifier for this one-time initial connection.<\/p>\n<p>Once this initial link has been established, Headlight becomes the master of the vehicle-driver relationship. From that point forward, any driver name changes reported by the leasing company in a subsequent reports, will not automatically update the assignment in Headlight.<\/p>\n<p>Headlight should reflect the true status of your fleet in terms of vehicle-driver relations, as they translate in payroll-impacts (Benefit-In-Kind).<\/p>\n<p>To make sure (outdated) leaser reports cannot update your driver-vehicle relations, we need to check the &#8220;Block Driver Switches&#8221; in the Fleet data settings.<\/p>\n<p><!--ARCADE EMBED START--><\/p>\n<div style=\"position: relative; padding-bottom: calc(54.7222% + 41px); height: 0px; width: 100%;\"><iframe src=\"https:\/\/demo.arcade.software\/QjTxh4OlfOiStpQkOQqA?embed&amp;embed_mobile=tab&amp;embed_desktop=inline&amp;show_copy_link=true\" title=\"Headlight | Block Driver Switches\" frameborder=\"0\" loading=\"lazy\" webkitallowfullscreen=\"\" mozallowfullscreen=\"\" allowfullscreen=\"\" allow=\"clipboard-write\" style=\"position: absolute; top: 0; left: 0; width: 100%; height: 100%; color-scheme: light;\"><\/iframe><\/div>\n<p><!--ARCADE EMBED END--><\/p>\n\n\n<h2 class=\"wp-block-heading\">Vehicle-Driver Assignments: Managing Driver Switches<\/h2>\n\n\n<p>When one employee hands over a vehicle to another employee, we need to update the assignment in Headlight to reflect the new driver.<\/p>\n\n\n<h3 class=\"wp-block-heading\">When to (un)link, and when not<\/h3>\n\n\n<p>When:<\/p>\n\n\n<ul>\n<li>An active vehicle that was previously &#8220;parked&#8221; (available) is now used by a driver.<\/li>\n\n\n\n<li>An active vehicle, that will remain active (used for an upcoming new colleague, for instance) is no longer used by an employee, because the employee has e.g. taken possession of his\/her new company car.<\/li>\n<\/ul>\n\n\n<p>When not:<\/p>\n\n\n<ul>\n<li>A vehicle that is end-of-contract is being returned to the leasing company. Here, the status of the vehicle should be put to &#8220;retour&#8221; or &#8220;exited&#8221;, which makes that the second condition for Benefit-In-Kind is no longer met.<\/li>\n\n\n\n<li>A vehicle that is currently being repaired, and a replacement vehicle is currently in use. See our articles on Workflow triggers.<\/p>\n\n\n<h2 class=\"wp-block-heading\">Updating Vehicle Statuses<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">Introduction on Vehicle Statusses in Headlight<\/h3>\n\n\n<p>There are 5 vehicle statuses in Headlight:<\/p>\n\n\n<ul>\n<li><strong>Order validation<\/strong>: The vehicle is ordered via Headlight, but not yet confirmed by the leasing company<\/li>\n\n\n\n<li><strong>Ordered<\/strong>: The vehicle is ordered and is appearing in the leasing company reports<\/li>\n\n\n\n<li><strong>Driving<\/strong>: The vehicle (contract) is active and the vehicle is being invoiced<\/li>\n\n\n\n<li><strong>Retour<\/strong>: The vehicle is returned, but administration (e.g. final invoicing, expertise) is still ongoing.<\/li>\n\n\n\n<li><strong>Exited<\/strong>: The vehicle is has completely left the fleet and all administration has been finished.<\/li>\n<\/ul>\n\n\n\n<h4 class=\"wp-block-heading\">Important Notes:<\/h4>\n\n\n\n<ul>\n<li><strong>Chronology Matters:<\/strong> Updates from the leasing company are only taken into account if they follow the correct sequence: order-validation \u2192 ordered \u2192 driving \u2192 retour \u2192 exited.<\/li>\n\n\n\n<li><strong>Overriding Incorrect Updates:<\/strong> If there&#8217;s a discrepancy with the leasing company&#8217;s records, Headlight&#8217;s status will prevail to maintain accurate vehicle history.<\/li>\n\n\n\n<li><strong>BIK Reporting:<\/strong> As mentioned, the Benefit In Kind (VAA) is charged for any period a vehicle is in &#8220;driving&#8221; status and is associated with a driver.<\/li>\n<\/ul>\n\n\n\n<blockquote class=\"wp-block-quote\">\n<p>Note: Leaser reports can only move statuses forward (e.g., Ordered \u2192 Driving), not backward.<\/p>\n<\/blockquote>\n\n\n<p>Also see <a link=\"https:\/\/www.help.headlight.tech\/?ht_kb=how-to-manually-update-vehicle-status-in-headlight\">this article<\/a>.<\/p>\n<p><!--ARCADE EMBED START--><\/p>\n<div style=\"position: relative; padding-bottom: calc(54.7222% + 41px); height: 0px; width: 100%;\"><iframe src=\"https:\/\/demo.arcade.software\/3a8M7jwkX7B3irVbViof?embed&amp;embed_mobile=tab&amp;embed_desktop=inline&amp;show_copy_link=true\" title=\"Manually perform a driver switch\" frameborder=\"0\" loading=\"lazy\" webkitallowfullscreen=\"\" mozallowfullscreen=\"\" allowfullscreen=\"\" allow=\"clipboard-write\" style=\"position: absolute; top: 0; left: 0; width: 100%; height: 100%; color-scheme: light;\"><\/iframe><\/div>\n<p><!--ARCADE EMBED END--><\/p>","protected":false},"excerpt":{"rendered":"<p>Headlight becomes your single source of truth for which driver is assigned to which vehicle.
