Creating Driver Documents

Learn how to upload new driver guides, manage visibility rules, and limit access to specific suppliers or platforms.


Access the Documents Page

  1. Click the Chat icon at the top right of any Headlight page.
  2. Open the Documents tab.
  3. Company Documents are general resources (e.g., car policy PDFs or supplier brochures) visible to all drivers on their home page.
  4. As Fleet Manager, use the “View as” dropdown to preview documents from a driver’s perspective.

Add Documents to Headlight

  1. Go to Resources → Documents.
  2. Click “+” to upload new files (drag & drop supported).
  3. Select Document type → “Other” (optional).
  4. Set Visibility = Employee — essential for drivers to access documents.
  5. Click UPLOAD, then confirm when the green dialog appears.

All uploaded files become available for use in Driver Documents.


Add Files to Driver Documents

  1. Return to Chat → Documents → “+”.
  2. Enter the document’s Name, optional Company, and Description.
  3. Choose the file from the dialog window and Select Document.
  4. Press SAVE → CONFIRM.

Your document is now visible to all drivers by default.


Set Conditional Rules

Limit visibility to specific drivers or suppliers:

  1. Click the Pencil icon → Edit document rules.
  2. Choose Condition Type = Equals.
  3. Set Parameter = vehicle/supplier.
  4. Type the supplier name (e.g., ALPHABET) as the value.
  5. Click OK → SAVE → CONFIRM.

Hover over a document name to preview its setup.


Review as Driver

  1. Use the “View as” dropdown to select a test driver.
  2. Confirm the correct documents appear based on supplier conditions.
  3. Close Driver View by clicking the X in the dropdown.
